1.Who we are
TrueLink is a product of Trueinception Private Limited, a company incorporated in India (CIN U62090MH2024PTC418582), with its registered office at Flat No 05, Zara Palace, Near Water Tank, Wadala, Nashik, Maharashtra – 422006, India. In this policy, “TrueLink”, “we”, “us” and “our” mean Trueinception Private Limited.
This policy covers our website (www.truelink.ai), the TrueLink web app (app.truelink.ai), the TrueLink apps, and the business email we host for you. Together we call these the “service”.
When you use the service for information about other people, such as your team members or the people who message and mail you, you are responsible for having the right to do so. We process that information to provide the service to you.
2.What we collect
Account details
Your name, mobile number, email address, organisation name and role, and the credentials you use to sign in.
Content you connect or share
Depending on what you choose to connect:
- WhatsApp messages that your linked business number receives: chats, groups, voice notes, photos, documents, videos and links;
- email in the mailboxes you connect, and in business email we host for you;
- call recordings you provide;
- documents, photos, videos and voice notes you upload or receive;
- meetings, notes, reminders and to-dos, and the facts you confirm into your memory.
Connected accounts
When you connect another service, such as Google or Apple iCloud, the information that service shares with your permission, and the access keys we need to reach it. Google data is described in its own section below.
Team members’ data
Your team members’ names, mobile numbers and roles, and their tasks, progress, comments, attachments, questions, team chat messages and business mailboxes. See “Team members” below for their consent.
Usage and device data
Sign-in times, the device and browser you use, your IP address, the features you use, and error logs.
Payment records
Your plan, the amounts you pay and their status. Card and UPI details are handled by our payment providers. We do not store them.
Website form data
What you submit in the eligibility form (your name, company, role, mobile number, work email, city, team size, industry, needs, message and how you heard about us), and technical information such as your IP address, used to prevent abuse.
3.How we use it
We use information to:
- provide the service: answers, briefs, reports, reminders, meetings, team features and mail;
- keep the service and your account secure, and prevent abuse;
- give you support when you ask for it;
- bill you for your plan and credits;
- meet our legal duties.
We use eligibility-form answers only to review your request and to contact you about access.
We never sell your information, and we never use it for advertising. We do not use your content to train AI models without your explicit permission.
4.AI processing
To answer a question, write a draft or read a file, the relevant parts of your records are sent to AI model providers who process them for us, to provide the service to you.
AI output can be wrong or incomplete. That is why answers show their sources. Check what matters before you act on it: you decide. Nothing becomes a permanent fact in your memory, and no mail, message or task is sent, until you approve it.
When you turn the internet setting on, a web search sends only words you typed, never content from your records, and you can see every query it sent. A fact-check never sends figures or account numbers.
5.Google user data
If you connect a Google account, TrueLink may access the following, with your permission:
- your calendars and calendar events;
- your contacts;
- your tasks;
- files in Google Drive that you pick;
- your YouTube subscriptions, playlists and liked videos;
- items in Google Photos that you pick;
- your email address, to identify the connected account.
How we use it
Only to show it to you, to answer your questions, and to add or change calendar events, tasks or contacts after you approve each change.
How we store it
We read Google data when it is needed to serve you, and we do not store it, except items you choose to add to your memory. The access keys for your Google account are stored sealed.
Who we share it with
No one, except service providers acting for us to provide the service to you (including AI model providers that process the relevant parts to answer your question), for security, or where the law requires it. We never sell Google user data or use it for advertising.
Who can read it
No person at TrueLink reads your Google data, except with your consent, for security purposes such as investigating abuse, or to comply with the law.
How to revoke access
Disconnect Google at any time in TrueLink, or at myaccount.google.com/permissions. After that, TrueLink can no longer read your Google data.
TrueLink’s use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
TrueLink does not use data from Google Workspace APIs to develop, improve, or train generalized AI or machine-learning models.
6.When we share information
We share information only:
- with service providers who act for us to run the service, such as hosting and storage, AI processing, email delivery, messaging and payments;
- within your organisation, as the service works: what team members do in the team app flows to the owner;
- when the law requires it, or to protect the rights, safety and security of our users, the public or TrueLink;
- if TrueLink is part of a merger, acquisition or sale of assets, as part of that transaction and under this policy;
- with your consent.
7.Where your data is kept
Your primary database and memory are on TrueLink’s servers in India, and so is our mail server. Files, attachments, videos and encrypted backups are kept with a cloud storage provider in the United States. AI processing is done by providers who may process data outside India.
Transfers outside India follow Indian law, including any restrictions notified under the Digital Personal Data Protection Act, 2023.
8.How we protect it
We use encryption in transit (TLS), encrypted backups, sealed storage for passwords and access keys, access controls and audit logs. Your records are divided into privacy tiers, and the Vault opens only when you unlock it, for a limited time, with every unlock logged.
Authorised TrueLink staff may access an organisation’s records only for support, security or legal reasons, with a recorded reason, and every access is logged.
No system is perfectly secure. If a personal data breach affects you, we will inform you and the Data Protection Board of India as the law requires.
9.How long we keep it
- We keep your information while your account is active.
- Files you delete go to a trash for 30 days before they are removed.
- Backups are kept for up to 180 days.
- Passwords of old mailboxes you move in are erased after the move’s catch-up period.
When your account ends, we delete your information, except what the law requires us to keep. Copies in backups are removed as those backups expire.
10.Your rights
Under India’s Digital Personal Data Protection Act, 2023, you have the right to:
- access a summary of your personal data and how it is processed;
- have it corrected, completed or updated;
- have it erased;
- have your grievances redressed;
- nominate someone to exercise your rights if you die or cannot act yourself;
- withdraw your consent at any time, for processing that relies on it. This does not affect what was done before, and some features may stop working;
- complain to the Data Protection Board of India.
Send requests to [email protected]. We may need to confirm your identity first. You can also make many changes yourself in the app: edit or delete facts, disconnect accounts and delete files.
11.Team members
If you are a team member, the organisation that invited you decides how TrueLink is used in it and is responsible for obtaining your consent. Before you join, you are told that what you do in the team app (tasks, progress, comments, attachments, questions and team chat) flows into the owner’s memory.
Your business mailbox belongs to the organisation. You read and send only your own mail, and the mailbox is locked if you are deactivated. The team app can never read the owner’s memory. For requests about your data, contact your organisation, or write to [email protected].
12.Children
TrueLink is for businesses and for people aged 18 or over. We do not knowingly collect personal data of anyone under 18. If you believe a child has given us personal data, write to [email protected] and we will delete it.
13.Cookies
This website uses no advertising or tracking cookies. The TrueLink app uses only strictly necessary cookies to keep you signed in, and remembers your theme preference.
14.Changes to this policy
We may update this policy. We will post the new version on this page with a new date and, if the changes are significant, tell you in the app or by email.
